Privacy notice
Last updated 12 October 2026
This notice explains how ClearTally Ltd ("Cleartally", "we", "us") uses personal data when you visit cleartallyhq.com, ask for a demo, or use the Cleartally service. We follow the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.
Who we are
ClearTally Ltd is registered in England and Wales. For anything about your data, email info@cleartallyhq.com.
What we collect
- Demo requests: your name, work email, company, role, phone number, industry, company size, the systems you use and any message you send.
- Customers using the service: account details for each user (name, email, role) and the business data your organisation connects to Cleartally, such as placements, timesheets, approvals and invoices.
- Technical data: basic logs needed to run and secure the service, such as IP address and browser type.
How we use it and why
- To respond to your demo request and follow up about Cleartally. Our lawful basis is legitimate interests.
- To provide the service to our customers under contract. For business data that customers connect, the customer is the controller and we act as their processor.
- To keep the website and service secure, and to meet legal and accounting obligations.
We don't sell personal data, and we don't use it for advertising.
Who we share it with
We use a small number of trusted suppliers to run Cleartally, including our database and hosting providers. Customer data is stored in London, UK. Suppliers only process data on our instructions and under appropriate contracts. Where any data is transferred outside the UK, we rely on approved safeguards.
How long we keep it
We keep demo request details for up to 24 months after our last contact, unless you become a customer. Customer data is kept for the length of the contract and deleted or returned at the end, unless the law requires us to keep it longer.
Your rights
You can ask to access, correct or delete your data, to restrict or object to how we use it, or to receive a copy of it. Email info@cleartallyhq.com. If you're unhappy with how we've handled your data, you can complain to the Information Commissioner's Office at ico.org.uk.
